The first of the how-to guide covers Working Online – Most of the data will be on clients’ servers or will be in the cloud in digital form. Any extra hard copy data that a BOSS virtual accountant or bookkeeper requires access to will then be scanned and saved on the clients server or, where the cloud system is being utilised, uploaded to the BOSS web server. Clients email a form describing the job they want worked on or if they prefer they can talk about it with their BOSS staff via Skype. Clients can incorporate instruction regarding the job including completion dates and the budget in hours. BOSS staff do the work online and then send an email to clients with a list of queries. Clients can either return answers via an email or chat over Skype. Clients are able to track the job status online at any time as BOSS gives them access to their cloud based Work Flow Max system. Then the BOSS team completes the job and sends off an email to confirm the job is done.
The second option is Working Offline – In the case of working offline, all hardcopy files are scanned by the clients and uploaded to the BOSS web server. Clients would export the client file from their general ledger, bookkeeping or tax software and upload that to the BOSS web server. Clients email a form outlining the job they want worked on or outline the job to their BOSS staff via a Skype call. BOSS downloads the data into the appropriate software and gets started working on the job. After the job is finalized all the working papers and the software files are then uploaded to the web server ready for clients to download back into their system. BOSS outsourced accountants then email the client letting them know the job is ready to review.
The third option is to use the Australian Taxation Office (ATO) Portal – To make the process a step easier, whether working offline or online, some BOSS clients choose to provide restricted access to the ATO portal and go as far as having BOSS lodge the tax returns on behalf of their firm.
